Global Administrator, Concur T&E

The ideal candidate is someone who works well in a fast-paced environment, with demonstrated sound judgment and strong attention to detail and who is motivated to learn and make continuous process improvements. Excellent English skills (spoken and written) are a must, due to the global nature of the role.  This position will report to the European Finance Director of Accounting.

Key Responsibilities:

  • Provide excellent customer service to internal customers (i.e., employees, HR, Accounting and Finance personnel, Internal Audit, and external auditors) related to T&E inquiries.
  • Efficiently address inquiries from employees regarding policies, processes, procedures, and system functionalities and help Concur users solve technical issues.
  • Provide user training to all employees, including new users and refresher trainings.
  • Process all credit card related tasks, including new applications, terminations, credit limit changes, fraudulent charges, compromised cards, assignment to Concur, and other inquiries.
  • Liaise with internal audit to research and audit for violations or deviations from policies and regulations.
  • Communicate system-related issues and/or compliance issues to European Director of Accounting on a regular basis.
  • Set up proper controls and processes in Concur, including ensuring that T&E reports cannot be submitted without receipts matched to expenses, expense policy flags are properly established, and expense approval routings are accurate.
  • Set up and monitor automatic reminders and escalation notices for delinquent expense reports based on Global Travel Policy.
  • Assist with tracking and reporting any vendor, travel, or system-related issues.
  • Conduct preferred vendor rate audits.
  • Report Concur T&E configuration issues and work with Concur technical support to resolve system and user technical issues.
  • Manage Concur system implementation/upgrade projects, including, but not limited to, processing employee import files, list management, accounting administration, and audit rule review and conducting robust testing on new features and functionalities.
  • Work with global Accounting functions to ensure Concur system is properly configured to support financial and VAT accounting and reporting requirements for each country. Provide timely and accurate files for accounting entries.
  • Prepare and distribute periodic analysis report to highlight issues or concerns and to assist Finance in analyzing trends in T&E spending by business and department.

Required Experience, Education, Skills and Competencies:

  • 3+ years as an end user of Concur, including experience with core Concur development tools including reports, forms, reporting, and workflow builder;
  • Formal Concur training/certification;
  • Demonstrated experience working with and supporting global teams across multiple businesses and multiple time zones;
  • Self-starter who can initiate action and follow through with well-defined solutions and plans;
  • Ability to communicate effectively, verbally and in writing, with all levels of the company;
  • Excellent interpersonal skills and strong customer service focus;
  • Strong attention to detail;
  • Ability to work under pressure and thrive in a fast-paced environment;
  • Demonstrated integrity, respect, commitment to excellence, and collaboration skills;
  • Excellent English skills (spoken and written) are a must, due to the global nature of the role.
